We participate in transporting large groups of people regularly. Because of confidentiality, we can’t share much of what we see. However, we can share some of the oddities. The president of a worldwide oil company requires a vehicle on standby throughout the night just in case he decides to leave at 2:00am. A certain celebrity always wants hot water and Constant Comment tea. We cater to the needs and demands of those we serve. There is a lot of planning behind what we do.
Let’s take you behind the scenes of what it takes to move 200 people at the same time with multiple pick-up locations in multiple cities and a goal of arriving at a single destination at the same exact time:
The process starts with an “RFP”, a Request for Proposal. We go through the RFP with a fine-tooth comb to determine exactly what the specific needs of the job are, and we determine whether we are capable of meeting all the requirements of the job. We prepare a written proposal that covers everything from the type of vehicles to be used, our understanding of the job, and of course all the pricing information needed. We use multiple mapping software to determine the exact travel times between all locations including the time of day we are traveling and expected traffic conditions.
Once our proposal is accepted, we meet face-to-face with the decision makers and organizers of the event. This includes a preview of our vehicles, so our client knows exactly what to expect on the day of travel. We go over all the details of the pick-up locations including viewing satellite images of the pick-up location, drop off location and routes.
Once all the planning is completed, it is time to give it a test run. Using the actual pick-up times included in the plan, we will send vehicles to the pick-up locations and run the route with the lead chauffeurs, so they know exactly where everything is located. We don’t want to pull up to the destination and find there are twenty different entrances to a facility. We know exactly where we are going to pickup and drop-off well in advance.
